Community Administrator (Texas - US)
Role Overview
The US Community Admin is responsible for the daily operation of the US office and the execution support of Community initiatives throughout the year. This role ensures the office runs smoothly, team members and guests are supported, and Community programs are executed consistently and professionally.
The position combines office operations, community logistics, event execution, and project support. While weekly responsibilities form the operational baseline, the role also contributes to a structured set of large, calendar-based Community projects that run year-round.
This is a hands-on, in-office role requiring strong organization, follow-through, and comfort operating in a fast-paced, people-focused environment.
Key responsibilities
Office & Workplace Operations
- Manage daily operations of the US office to ensure the space is functional, organized, and welcoming
- Order and maintain office supplies, snacks, beverages, and inventory
- Perform daily walkthroughs and light office upkeep (kitchen, common areas, bathrooms)
- Manage mail intake and distribution
- Coordinate utilities, internet, storage, and facility-related vendors
- Handle errands related to office needs, supplies, gifts, and events
- Support inventory management in coordination with PX / IT
Community & Culture Support
- Coordinate weekly team lunches and occasional happy hours
- Support celebrations including birthdays, anniversaries, and milestone moments
- Coordinate internal gifts and related logistics
- Support ad-hoc Community needs as they arise
External Guests & Space Hosting
- Host visiting team members, leadership, and external guests
- Conduct office tours, manage room bookings, and provide access and support
- Coordinate external office bookings and act as main point of contact after introduction
- Ensure the office is prepared before, during, and after external bookings
- Provide after-hours support when required for events or bookings
Administrative & Vendor Support
- Reconcile receipts and manage expense documentation
- Coordinate recurring vendor bookings and payments
- Gather quotes and organize vendor comparisons
- File and track required internal forms and documentation
- Step in to support urgent or last-minute operational needs
Annual Project Support
In addition to weekly operations, the US Community Admin supports larger Community initiatives throughout the year, often overlapping across months. These projects require planning support, coordination, logistics, and execution.
Examples include:
- Office branding and space improvements
- US Office Playbook creation and maintenance
- Major internal events (Bootcamp, Camp Howdy, Dev Day)
- Olympics, Reindeer Games, and seasonal programs
- Philanthropy initiatives
- Client and internal holiday gifting
- Annual Community calendar planning and setup
Project intensity varies throughout the year, with increased workload during peak event and planning periods.
Main Skills and Qualifications
- 2+ years experience in office administration, community operations, events, or workplace coordination
- Strong organizational and time-management skills
- Comfortable balancing routine operations with project-based work
- Clear communicator with strong follow-through
- Comfortable working in a hands-on, in-office role
- Able to manage vendors, logistics, and deadlines independently
